Church of England Pensions Board to streamline administration with Comino
The Church of England Pensions Board is set to implement Comino’s Universal Pensions Management (UPM) to replace its existing pensions administration system.  As part of the project, the Board will streamline time-consuming and laborious administration tasks with the use of an Electronic Document Management (EDM) solution from Comino.

eplace its current administration systems with a single modern application that would provide greater efficiency, better levels of service to participating employers and members, and provide cost savings.

A specific requirement of the new system was that it should be process based and allow for the electronic archiving of all existing paper files (approx 40000+).

With more than 30,000 scheme members, the Church of England Pensions Board (CEPB) creates thousands of documents each year, from various forms and applications to general correspondence. By implementing an EDM-based solution, the organisation is able to create and store all documents electronically, removing the need for photocopying and its associated physical storage space.

Shaun Farrell, Chief Executive at CEPB, explains, “We were concerned that our employees’ time was being taken up on lengthy administrative tasks, such as photocopying and filing, and that service delivery could be compromised due to the complexity of the arrangements we holdoperate.  Being based in Central London there were also security and cost implications in maintaining extensive paper files in our offices.

“The Comino solution will significantly help the CEPB as it leaves us to concentrate purely on serving our customers. Our archives are almost collapsingstraining under the weight of 40,000 paper files, but when they’re all electronic, our staff won’t have to spend time searching through various filing cabinets. Business processes will be made simpler so that we can improve our productivity and deliver a more consistent customer service.”

The current version of Comino’s UPM solution offers the latest in web-enabled workflow technology, together with the functionality and features required to provide a flexible platform. The process-based administration system includes an integrated, enterpriseorganisation-wide document management system which removes paper from the workplace and allows immediate electronic access to member files and data using Comino’s EDM and workflow solution. The system is highly configurable and easily maintained by the customer.

In the future, the CEPB is hoping to develop the UPM solution to include secure web access for members and participating employers.
